Overview

Position Summary 


The Parts Counter Advisor (Retail & Wholesale) is responsible for assisting customers, technicians, and wholesale clients with identifying, sourcing, and purchasing OEM parts at the dealership. This role supports both over-the-counter retail customers and wholesale accounts, ensuring accurate parts lookup, competitive quotes, timely order fulfillment, and exceptional service. The Parts Counter Advisor helps maintain efficient Parts Department operations while adhering to manufacturer standards and dealership policies. 

Responsibilities and Qualifications

Key Responsibilities 

  • Assist retail customers, service advisors, collision estimators, and wholesale clients with identifying and sourcing OEM parts.
  • Use electronic parts catalogues (EPC) and dealership systems to look up correct part numbers and verify compatibility.
  • Provide accurate quotes, pricing, and availability information for retail and wholesale orders. 
  • Process customer transactions including cash, credit, warranty claims, core returns, and special orders. 
  • Support wholesale accounts by delivering timely responses, coordinating deliveries, and building strong business relationships. 
  • Communicate with technicians and internal departments to ensure timely parts delivery for repair orders. 
  • Receive, inspect, and stock incoming parts; handle returns, exchanges, and warranty-related items.
  • Maintain an organized and efficient parts counter, storage area, and shipping/receiving zone.
  • Track backordered items and proactively update customers and internal teams on expected arrival times. 
  • Promote OEM parts, accessories, and value added products to retail and wholesale customers. 
  • Follow all dealership, OEM, and safety procedures, including proper handling of parts and chemicals.
  • Assist with inventory cycle counts, stock rotation, and maintaining accurate bin locations. 
  • All other duties as assigned by leadership.

Qualifications 

  • 1–3+ years of automotive parts experience, preferably in an OEM dealership environment.
  • Strong knowledge of OEM parts catalogues, inventory systems, and dealership management systems (DMS). 
  • Ability to read and interpret repair orders, technical diagrams, and parts schematics. 
  • Excellent customer service and communication skills with the ability to support retail and wholesale clients.
  • Strong organizational skills and attention to detail in a fast-paced environment.
  • Ability to multitask and handle high volumes of phone, email, and in-person inquiries.
  • Team oriented with a professional, customer-focused attitude. 
  • Basic mechanical knowledge or automotive background preferred.
  • Valid driver’s license and clean driving record required.
